Position Summary
This individual works as executive assistant to the Director of Institutional Advancement and
to the Institutional Advancement department to increase donor support for the Museum’s
mission. This manager is responsible for coordinating direct mail and assisting with online
fundraising initiatives, supervising a Development Assistant, maintaining the integrity of the
donor database, and for providing administrative and project support to the department staff.


Essential Responsibilities
1.        Coordinate, conduct and lead activities to complete the annual direct mail appeals
and online fundraising initiatives.  Responsibilities includes pulling information from the
database, preparing the mailing lists, working with outside mailing/printing houses,
assisting in the development of front-end and back-end premiums, and garnering
acquisition lists for the direct mail appeals.
2.        Lead in the management of the donor database integrity, manage the gift-processing
activities and utilize the database functions to support the Institutional Advancement (IA)
department.  This responsibility includes receiving the donations (including in-kind
documentation) and recording the donations for the finance office.  Complete the gift entry,
acknowledgement and recognition process.
3.        Supervise the Advancement Assistant to Grants to accomplish annual fundraising
goals and duties in support of the IA department.
4.        Assist with grant agreement processing in accordance with the D.C.M. grant
proposal process.
5.        Supervise for the accurate completion of donor recognition initiatives, such as the
donor wall, celebration tile program, donor lists in the quarterly newsletter and Website lists.

6.        Complete or assist in the production of queries, exports and reports from the donor
database to provide information and analysis on D.C.M. fundraising progress.
7.        Work with the Finance department to complete a monthly and year-to-date
reconciliation of gifts.  This responsibility includes monthly meetings and ongoing tracking
for accurate documentation of gift categories (gift types, gift constituency, etc.) and involves
coordination of various reports.
8.        Perform ongoing Raiser’s Edge coding analysis and cleanup, and when needed,
develop and implement new coding to meet the needs of prospective fundraising initiatives.
9.        Support the work of department fundraising initiatives and events.  This will
occasionally require your assistance at off-hour and/or weekend special events such as
Gala or cultivation events.
10.        Perform administrative support duties as assigned by the Director of Institutional
Advancement, such as assisting in budget development, compiling board reports, tracking
campaign results, and attending various meetings.
11.        Oversee the maintenance and integrity of the hard donor files and donor paperwork.
12.        Other duties as assigned.


Job Relationships
> Supervised by the Director of Institutional Advancement
> Must work well in a team environment and maintain excellent relationships with museum
staff, board, donors, vendors, visitors and various D.C.M. constituencies.
      
Education and Experience
> Bachelor's Degree from an accredited college or university or equivalent experience.
> Four (4) years of related managerial and office experience, preferably in a museum or
other non-profit setting or an equivalent combination of education, training and experience.
> Familiarity with the U.S. postal and presort requirements.

Skills and Abilities
> Proficiency in MS Word and MS Excel, and experience using fundraising software is
required, preferably Raiser’s Edge.
> Strong planning and organizational abilities and excellent written communication skills;
high level of analytical, presentation, negotiation, problem solving and customer service
skills.
> The nature of the work requires this person to execute assignments and tasks under only
general supervision, to demonstrate strong initiative, to exercise considerable discretion
and independent judgment, and to deal independently with volunteers, other departments,
community partners and the public.
> Perform basic mathematical calculations.

The following abilities are required for the position:  (a) Communicate appropriately and
clearly both verbally and in writing with telephone callers, office visitors and co-workers.  
Comprehend and speak English with the general public and co-workers; (b) Operate office
equipment in order to send and receive information with necessary optical, auditory and
manual dexterity; (c) Use a keyboard and mouse to enter, retrieve or transfer words or data;
(d) Sit for extended periods of time; (e) Lift items weighing up to 20 pounds occasionally; (f)
Climb up and down stairs or use an elevator daily; (g) Tolerate dust and fumes from
general cleaning and maintenance procedures.
Optional requirements:
      Manual dexterity necessary to handle bills and coins
      Display the reading skills necessary to proofread written materials
      Negotiate travel locally and nationally
      Tolerate frequent interruptions in the work process
      Perform analysis on data to form reasonable conclusions and be able to demonstrate
findings to others.

Other:
Must have driver’s license, own transportation and appropriate liability insurance.
